The HR and Recruiting Specialist is a support partner within the SAGE Human Resources department and performs a variety of responsibilities with focus on recruitment, HRIS, administration, and the overall enhancement of a positive experience for our employees and candidates.

Essential Job Functions & Responsibilities

HR Support

  • Provide administrative and human resource function support to the HR Business Partner in data entry into Paylocity (HRIS) to include new hire information, personal employee changes, as well as running ad-hoc reports; assist in follow up, filing, and organization of employee benefit folders; assist in the processing of invoices; etc.
  • Support monthly policy and procedures orientation and/or benefits orientation as needed.
  • Assist with maintaining personnel files in compliance with applicable legal requirements.
  • Assist in preparing promotion and transfer memos in compliance with the title and pay plan with an eye toward internal parity and equity as appropriate.
  • Assist in the preparation of new hire paperwork as needed, such as with remote new employees.
  • Represent SAGE professionally to internal and external customers.
  • Help with corporate events as needed including company events, education fairs, etc.
  • Provide support to the Learning and Development department, including reporting, data tracking, logistics and coordination of learning events, etc. as needed.
  • Support special projects and programs either on an ad-hoc or ongoing basis.
  • Assist in the coordination of the internal internship program as needed.
  • Conduct exit interviews for voluntary terminations as needed.
  • Maintain a strong knowledge of company HR policies, procedures and programs, as well as employment law including federal, state, and local as appropriate.


  • Be the designated recruiter for intern, entry level, and routine recruitment positions.
  • Manage recruitment effort, including reviewing resumes and vetting to identify qualified candidates; conducting telephone screenings; holding interviews; providing feedback to hiring manager; conducting appropriate job testing; working with the external vendor to conduct background screening; authoring formal written offer letter (ensuring base and bonus is in compliance with title and pay plan and reflects internal parity for like positions); and extending employment offer.
  • Meet with hiring managers and conduct recruiting strategy meetings to review and agree on specific recruiting plans and strategies for approved open positions.
  • Work with the recruiting support team to post positions internally via the intranet.
  • Work with hiring manager to ensure a job description is created for all new positions and/or updated for replacement positions and store in the proper job description folder on the network.
  • Ensure text for recruitment advertising properly reflects the job description and is compliant with current EEO and employment legislation.
  • Provide training as needed to managers who may need support with the applicant tracking system.
  • Provide support to managers in developing/formulating interview questions as needed.
  • Ensure all approved positions are filled with the most qualified and appropriate candidates at the lowest cost in the least amount of time. 
  • Build and nurture candidate pipelines through a variety of online and offline recruiting tools to include LinkedIn Recruiter, resume databases, career fairs, and direct networking with nationwide academic and professional publishing groups.
  • With SAGE recruiters, develop and maintain a database of qualified talent using Linkedin and iCIMS.
  • Evaluate recruitment strategies to insure we are reaching diverse and qualified candidates. Using SAGE’s annual AAP report, create additional recruiting strategies and opportunities to address any identified areas with the AAP.
  • Create, implement, and support strategies for continuous improvement on promoting SAGE as the employer of choice.
  • Support the Talent Acquisition Business Partner and SAGE by assisting in the development and maintainance of professional relationships with college, university, and community placement offices; employment agencies (both contingency search and temporary); advertising agencies; etc. and attend appropriate job/career fairs as a source to generate qualified applicants.
  • Help to coordinate details of relocation, when appropriate, including securing temporary housing, etc.
  • Work with the Talent Acquisition Business Partner to assist in the tracking, analysis, and preparation of hiring/termination data and cost analyses, specifically including open requisitions report, cost per hire report, exit interview analysis, etc.
  • Under the direction of the Director, HR and OD, research appropriate salary benchmarking for designated positions within the company as well as the exploration of positions new to the company.

Candidate Scheduling

  • Schedule interviews with candidates, hiring managers, and other relevant and selected individuals involved in the interview process; arrange applicant travel; send confirmation of interview schedule; etc. with high attention to detail and in line with SLAs for scheduling and recruiting.
  • Resolve issues, research and respond to team member requests, coordinate various aspects of the candidate and hiring manager experience end to end, assume ownership for various projects and programs over time, and play a key role in being a professional face and voice of the department.
  • Follow up on interview process status to ensure a high-quality candidate experience and a seamless interview process for all involved.


Additional Responsibilities

 The additional responsibilities include, but are not limited to, the following: 

  • Perform a wide variety of administrative support functions and know how to work with current office technologies and social media. Prepare materials and information that is organized, prepared, distributed, and filed to help establish and maintain an effective and timely communication and information system within and outside the HR department. 
  • Other duties as assigned and appropriate.

Qualifications & Education

Any combination equivalent to, but not limited to, the following: 

  • BA/BS degree or equivalent work experience required.
  • Two years of office experience in a support position required, preferably internship or administrative support in Human Resources.
  • Corporate, nonexempt level, talent acquisition experience preferred.
  • Working knowledge of recruitment strategies within various advertising career websites, social networking sites, universities, and the local community.
  • Prior experience working with internal and external customers.
  • Previous experience with an applicant tracking system preferred.
  • Working knowledge of employment law, both federal and state.   
  • Ability to maintain the high confidentiality this role demands.
  • Ability to comply with company policies, procedures, and standards of ethics and integrity.
  • Working knowledge in Microsoft Office Suite of products.
  • Solid written and verbal communication skills, excellent interpersonal capabilities, and strong presentation experience with an ability to work professionally across all departments and levels of the organization.
  • Ability to manage complex projects and multiple priorities in a fast-paced environment at a high level of competence.
  • Excellent attention to detail, organization, record-keeping, and time management skills.
  • Ability to contribute to an environment in which all team members are respected regardless of their individual differences and are motivated to improve both their individual and team contributions to achieve desired business results.
  • Perceptive and capable of developing and maintaining positive relationships with individuals at all levels within the organization as well as with external resources and applicants.
  • Sensitive to corporate needs, employee goodwill, and public image.
  • Ability to develop and maintain extraordinary working relationships with a variety of business leaders and employees which includes possessing excellent communication skills, listening reflectively, maintaining objectivity.
