Overview

The Editorial Assistant, Peer Review will support the operational process for specific journals to ensure that proper peer review is conducted in an effective and efficient manner.

  1. You will work with external journal editors to ensure papers follow robust peer review processes
  2. You may work on established titles, as well as drive and support the launch of new journals, where appropriate
  3. You will work with internal and external staff to ensure the regular and timely publication of articles and issues
  4. You will work effectively with the Peer Review team, colleagues in Journals Editorial, Marketing, Production, and others throughout the organisation
  5. You will be expected to maintain high quality communication and excellent relationships with journal editors, authors, reviewers, and other SAGE staff.

Essential Job Functions & Responsibilities

Peer Review

  • Check in submitted manuscripts through SAGE Track, SAGE’s online peer review platform, by ensuring that they conform to the submission criteria and are ready for the peer review process.
  • Identify suitable reviewers, where required.
  • Invite, assign, and/or assist reviewers who need to complete their reviews through SAGE Track.
  • Follow up with editors, associate editors (if applicable), reviewers and authors who have not completed their tasks by the deadlines defined in SAGE Track.
  • Ensure that authors of accepted manuscripts complete and submit the electronic contributor form through SAGE Track.
  • Check accepted manuscripts to ensure that all the necessary components are present and ready for the SAGE Production team prior to export.
  • Export accepted manuscripts from SAGE Track to the SAGE Production Editor in a timely manner.
  • Ensure that all tasks are completed by the deadlines defined in SAGE Track.
  • Maintain the SAGE Track email templates and periodically update the email templates to suit the needs of the individual journal.
  • Maintain documentation outlining the journal tasks and processes.
  • Periodically, as advised by SAGE or the editor, run reports out of SAGE Track.
  • Troubleshoot to ensure that each SAGE Track site is functioning properly.
  • Keep SAGE Track sites up-to-date and in line with global initiatives and standards, as advised by your SAGE colleagues.
  • Work with SAGE US and/or UK staff to implement selected sites that may not already be live.
  • Assist the journal editor and/or SAGE staff with any projects or initiatives related to the journal, as requested.
  • Produce weekly activity reports showing all activity on the journal.
  • Deliver accepted manuscripts to production according to their scheduling needs.
  • Oversee the transition of the SAGE Track site during editorship change overs.
  • Assist in the transition of titles to and from in-house managing editor teams across offices.
  • Any other tasks or duties, as requested by the journal editor(s) or SAGE staff.

 

 

Liaison

  • Respond to queries from journal editors, associate editors (if applicable), authors, reviewers, society contacts and SAGE staff in a clear, prompt (within 24 hours of receipt) articulate, and organized manner.
  • Maintain positive working relationships and top-quality communication with external Editors, Editorial Board members, authors, reviewers, and SAGE staff throughout the world.
  • Work closely with other SAGE in-house Peer Review Assistants, Peer Review Managers and Managing Editors to support the sharing of and adherence to best practices.
  • Communicate with internal SAGE staff in Editorial, Production, Publishing Technologies, Marketing, Circulation, Commercial Sales and others across the business, as needed.

 

General

  • Participate in projects, committees, or task forces as assigned.
  • Prepare reports from online submission and other systems, as necessary.
  • Maintain editorial knowledge and proficiency.

Qualifications & Education

Include, but not limited to, the following:

 

  • Bachelor’s degree or equivalent experience.
  • Ability to plan, organize, analyze and establish priorities to achieve results.
  • Must work well under pressure: highly motivated and energetic multi-tasker.
  • Ability to work independently within a team-oriented environment.
  • Detail and results oriented.
  • Must be proficient with software, including: Microsoft Word, Excel, and PowerPoint.
  • Good organization, research and troubleshooting skills.
  • Ability to learn new skills, technologies, methods and procedures quickly and effectively.
  • Demonstrated ability to creatively solve problems.
  • Excellent professional written and oral communication skills.
  • Must be able to work in a changing environment.
