Sales (US) - Sales Coordination


Opportunity to support a dynamic sales team in various aspects of print and digital advertising sales. The Advertising Sales Coordinator provides administrative support to the advertising and sales operations of the Commercial Sales department.  This position ensures SAGE’s profitable growth by coordinating print and digital advertising in assigned journals and supporting the work of Account Executives and/or Advertising Specialists through clerical tasks, providing customer service to all accounts, proofing all artwork and helping to ensure that print issues go to press and digital advertising runs without mistakes.  

Essential Job Functions & Responsibilities

Under the direction of the Commercial Sales management staff, assist Account Executives with daily sales tasks and duties, including:

  • Respond to inbound customer inquiries by e-mail or phone
  • Forward requests to the appropriate Account Executive or send requested information as directed by the Account Executives
  • Input data as requested by Account Executives into Magazine Manager (or other CRM system)
  • Assist Account Executives with creation and submission of RFPs and other sales presentations
  • Mail out sample issues and media kits per the request of the Account Executives in a timely and cost effective manner
  • Assist Account Executives with conference preparations
  • Schedule customer meetings for Account Executives as needed
  • Special Sales-Related projects as requested by Sales Management or Account Executives
  • Assist Advertising Specialist with other customer related needs as they arise 

Facilitate Efficient Processes for publishing advertising in all media, including:

  • Review and process advertising contracts and orders and ensure accuracy with proposals in Magazine Manager and store them in the appropriate folders on the shared network drive
  • Request extensions as needed from Production editors and communicate those to the Account Executives
  • Ensure accuracy of billing information in Magazine Manager or similar invoicing program
  • Utilize phone and email to collect artwork from customers and communicate back any problems that are identified during the pre-flight process
  • Upload all artwork to the appropriate programs in a timely manner (for example SMART or CheckM8)
  • Ultimately responsible for all layout, cover checks, site tests and blue line checks to ensure correct placement of all advertising contracted by the Account Executives
  • Route all advertisements to societies and editors for approval as necessary
  • Capture and send screen shots of digital advertising placements and save to appropriate folders for invoicing and reporting, and send screen shots and reports to clients as requested.
  • Monitor progress of digital advertising campaigns
  • Communicate with other departments, including but not limited to production and editorial

Qualifications & Education

  • Bachelor’s Degree or a minimum of 3 years relevant work experience required
  • 2+ years working experience supporting a sales organization required
  • Intermediate proficiency in and the Microsoft Suite of product and working database experience preferred
  • Working experience with CRM applications preferred
  • Solid knowledge of sales and marketing processes
  • Proven strong problem solving and analytical skills
  • Excellent oral and written communication
  • Ability to work independently and manage own time effectively
  • Ability to work in a highly energized team and comfortable with customer-facing and business communication

Physical Demands/Work Environment

  • Operation of desktop computer with ability to sit and work at it for extended periods of time
  • Ability to ignore ambient noise, while carrying on conversations with customers.
  • Ability to stand for extended periods and lift boxes up to 10 lbs while assisting with on-site exhibit management
