    Overview:

     

    Under the direction of the VP, HR/Facilities, the Director of SAGE U.S. Facilities will be responsible for planning, organizing, and administering wide-ranging programs in support of all SAGE U.S. facilities to ensure they are foster optimum employee and organizational performance. This includes short-range and long-range planning and maintenance of building and grounds operations including the improvement, remodeling, modification, scheduled maintenance and oversight to ongoing facilities as well as the design, creation and orchestration of new facilities. Develops plans for and implements policies, methods and procedures for a comprehensive corporate-wide maintenance and repair programs. Hires, leads and evaluates the performance of the Facilities and Office Services staff in maintaining day-to-day building operations and maintenance.

     

    Scope and Responsibility: 

    • This position will lead, manage and motivate a 7-person facilities and office services staff who are responsible for the day-to-day maintenance of our SAGE U.S. facilities. This includes a supervisor, 2 receptionists and 4 office services clerks. These positions provide support in the physical maintenance and operations of buildings, facilities and building systems.
    • Directs the design, planning, construction and maintenance of company facilities within the U.S.
    • Responsible for developing budgets, short- and long-range facilities plans based on company growth and future facilities needs.
    • Responsible for managing all leases, approving contracts and tracking of budgets related to buildings and facilities
    • Responsible for working with external vendors including architectural staff, general contractors, sub-contractors, real estate staff, etc. in the planning and execution of new building construction or renovation of existing space.
    • Oversees the functioning of all building systems and grounds maintenance efforts involving external vendors/contractors or internal staff who perform repairs and maintenance in the areas of plumbing, carpentry, painting, general grounds and landscaping, heating, ventilation, air conditioning, security, and electrical systems, fire safety and waste management. Ensures building operations comply with all local zoning laws and regulations.  

     

    Essential Job Functions & Responsibilities

    • Oversight, leadership and management of all SAGE U.S. Office Services and Facilities functions and staff. Oversees this personnel function and staff management ensuring proper level of resources, effective motivation and involvement of staff, enhancing productivity and ensuring a high level of morale and staff development.
    • Develops, communicates and orchestrates short and long-range maintenance plans and programs including but not limited to all building systems, emergency response, energy management, annual budget for the purpose of ensuring the best use of SAGE’s resources
    • Researches new products, laws and legislation for recommending new purchases, contracts, and/or to remain in compliance, etc.
    • Oversees the delivery of essential facilities and office services through internal and external staff in the most effective manner possible meeting the work requirements and needs of the various departments and personnel. This includes mail room services, product procurement, office and conference room set up, fulfillment of office supplies (e.g. coffee, copy paper), functioning of office equipment (copy machines), etc.
    • Establishes appropriate policies and procedures that promote a strong service orientation to staff and vendors
    • Oversees cleanliness of buildings and grounds according to standard schedules
    • Manages the maintenance and repair work of buildings, building equipment and grounds
    • Hires outside contractors for necessary maintenance, repairs and renovations
    • Maintains inventory of equipment and oversees purchasing of necessary equipment and supplies
    • Manages and negotiates contracts and leases on buildings and equipment
    • Works with external vendors and internal management in the creation and building or renovation of new and/or existing space. This includes working with the architectural team and real estate staff on location of new space, conducts space analysis and works with external vendors on needs analysis and space estimates, works with project management or general contractor in creation of design and construction plans, oversees construction or renovation, procures necessary furniture and equipment, works with IT and external technology vendors on the design and orchestration of all technology related needs, and otherwise does what is needed for effective facilities creation and maintenance.
    • Oversees, manages and orchestrates internal employee moves needed when new space has been created and/or renovation has been completed. This includes the coordination of the moves, furniture installations and reconfigurations
    • Ensures company building floor plans are maintained on an ongoing basis
    • Plans and manages Safety Committee trainings (CPR, 1st Aid, AED certification), annual fire drill for all buildings, evacuation postings, etc.
    • Work with HR to host an annual Health and Green fair by securing vendor participation
    • Schedules, coordinate and assist with quarterly emergency system tests
    • Conduct research on products and services with the ability to summarize and present findings
    • The additional responsibilities include, but are not limited to other duties as assigned

    Qualifications & Education

    Any combination equivalent to, but not limited to, the following:

     

    • College degree required, master’s degree a plus
    • 8-10 years in progressive facilities management positions preferably overseeing the facilities and office services functions with multiple buildings within a corporate setting
    • Sound knowledge of building operating systems
    • Strong knowledge and understanding of OSHA compliance and regulations as well as safety guidelines, building and fire codes preferable
    • Working knowledge of Microsoft products including word processing, spreadsheet applications and Outlook as well as knowledge of Explorer Internet software. Prefer knowledge of CAD software.
