  • Overview

    Responsible for assisting Director, Department Managers and Supervisors with various administrative tasks. Organizes invoices, enters department purchase orders, and prepares worksheets to fulfill various accounting and distribution requirements. Works with the department coordinators and leads to clear bottlenecks in their material handling workloads. Creates and maintains documentation of warehouse procedures. Manages or oversees distribution related special projects.

    Essential Job Functions & Responsibilities

    • Support distribution management staff with various administrative tasks as assigned including:
    • Verify and code certain departmental invoices
    • Manage, file, and/or create shipping bills of lading
    • Manage, file, and/or create supply purchase orders
    • Manage the drop shipment order process
    • File and maintain equipment maintenance records
    • Other administrative tasks as assigned
    • Check in journal back issues and prepare monthly India journals shipment
    • Drive company truck to make deliveries between company facilities
    • Create reports and maintain spreadsheets and records for distribution and accounting as required
    • Create and maintain distribution department procedure documentation
    • Conduct cycle counts, location audits, and/or put-away audits as assigned
    • Assist coordinators and leads with tasks to reduce process bottlenecks as needed
    • Develop and coordinate distribution projects in conjunction with Supervisor as assigned.
    • Oversee distribution staff and/or agency employees that are assigned to special projects.
    • Coordinate tag control and data entry for Books and Journals physical inventory.
    • Participate in group discussions regarding process improvements and safety issues.

    Qualifications & Education


    • High School diploma or equivalent. AA degree and/or some college preferred.
    • 2 to 4 years experience in inventory control, shipping, receiving, and/or other warehouse activities.
    • Valid California driver’s license.
    • Prior or current certification in driving a forklift/order picker preferred.
    • Proficiency with Microsoft Office applications.
    • Proficiency in using UPS and/or FedEx online shipping systems.
    • Knowledge and understanding of good inventory control principles and procedures.
