  • Overview

    The Editorial Assistant, Permissions coordinates permissions-related activities within College Editorial, including evaluating needs, maintaining records in accordance with our policies and procedures, managing projects, collaborating and communicating with staff members and authors, and conducting trainings.This position also serves as a resource on permissions for the College Editorial department in active and ongoing collaboration with editorial assistants, content development editors, acquisitions editors, and authors. The permissions specialist ensures that third-party material is used appropriately and in accordance with legal requirements and industry-accepted standards, so that books and digital products are produced on time, accurately, and within budget. This position serves as a liaison with other departments including Legal and Production.

    Essential Job Functions & Responsibilities

    The essential job functions include, but are not limited to, the following:


    • Maintain and distribute up-to-date permissions guides, resource materials, forms, templates, contracts, agreements, permissions logs, and other documentation.
    • Work with the Legal department to ensure permissions are in compliance with the law as well as industry standards, to assess risk, and communicate findings.
    • Coordinate with photo and visual media licensing agencies, including maintaining current contact information, pricing, etc.
    • Provide authors with documentation and guidance to obtain permissions for their books, and serve as an ongoing resource to authors.
    • Develop familiarity with copyright law, including fair use, public domain, personal releases, etc.
    • Provide timely and accurate information on permissions for books and digital products in production.
    • For College Editorial titles, ensure compliance in accordance with SAGE policies and the law, with proper documentation.
    • For specific, assigned titles, review content to determine permissions needs, clear permissions, maintain records and permissions logs, arrange for payment, track expenditures, prepare status reports, prepare final reports, and archive permissions records.
    • Coordinate freelance permissions activity, records, and payments when requested.
    • Serve as a resource on Copyright Clearance Center and Rightslink.
    • Conduct meetings and workshops on permissions.
    • Serve as a consultant on permissions questions.
    • Provide other types of administrative support as assigned.
    • Attend department meetings and trainings as requested, including liaising with Legal, Production, or other departments.
    • Attend copyright-related webinars, seminars, and trainings.

    Qualifications & Education

    Any combination equivalent to, but not limited to, the following:

    • Bachelor’s degree required
    • One year of experience working in a publishing environment preferred
    • Proficient in Word, Excel, and use of the internet
