  • Overview

    The Contracts Assistant, Temporary is primarily responsible for supporting the administrative functions of the Book Contracts and Rights group of the Legal Department. Key tasks include placing orders for complimentary book copies due to contracted parties, registering and cataloging newly-published books with the Library of Congress, and assistance with contract administration tasks in support of the Books Contracts and Corporate Counsel teams. This temporary position also provides support on special projects, as needed. 6 month assignment - may be extended.

    Essential Job Functions & Responsibilities

    The essential job functions include, but are not limited to, the following:


    • Ordering complimentary copies of newly-published works for all contracted parties within one week of publication, and liaising with warehouse and customer service staff as needed to ensure copies are delivered appropriately;
    • Registering and cataloging each newly-published book with the U.S. Library of Congress;
    • Reviewing contract terms and updating the company contract database with relevant contract data;
    • Drafting basic contract documents and correspondence using provided templates;
    • Creating and maintaining department files as needed, including retrieval of out-of-print files kept in warehouse;
    • Assisting with management of the infringement portal and counterfeit books prevention project;
    • Photocopying, scanning, and other administrative tasks, as assigned; and
    • Handling other tasks and projects, as assigned.

    Qualifications & Education

    Qualifications and education include, but are not limited to, the following:

    • College degree preferred;
    • One year administrative office experience in publishing or a related field;
    • An interest and/or experience in the legal field preferred; and
    • Computer skills including: MS Word, Excel, Access, database navigation and entry, internet navigation and research.
