  • Overview

    Provide administrative support for the Vice President & General Counsel (GC) and Senior Corporate Counsel including limited support as requested by the GC in relation to planning and calendar coordination of travel, meetings and events; assistance with correspondence and documentation; general filing; processing of expense reports; management and coordination of projects and other matters as assigned by the GC.  A high level of discretion is required as this position routinely deals with highly confidential and sensitive information and a diverse group of external parties as well as internal contacts at all levels of the Company. This role is a temporary part time role - 10 to 15 hours per week. 

    Essential Job Functions & Responsibilities

    The job functions include, but are not limited to, the following:

     

    • Assist the GC and Senior Corporate Counsel by providing administrative and support services as assigned including planning and coordination of all details of travel, scheduling, preparing meeting agendas, planning and coordinating meetings, videoconferences and events and updating calendars, receiving and screening telephone calls, sorting and delivering mail, addressing technology needs, faxing, copying, scanning and e-mailing as necessary.
    • Provide internal and external customer service and act as the liaison between the GC and members of the Global Senior Management Group and others.
    • Provide key assistance and oversight in relation to various assigned projects, including working independently and with colleagues and others as required with respect to such projects.
    • Manage invoices from various outside counsel and other vendors including appropriate coding, copying and submission to accounting department using the Proactis Expense Processing system.
    • Preparation and management of all Expense Reports for GC and Senior Corporate Counsel.
    • Other matters as assigned by the GC.

    Qualifications & Education

    Any combination equivalent to, but not limited to, the following:

     

    • Bachelor’s Degree preferred.
    • Previous experience working in a fast paced, time sensitive, customer-service oriented professional environment.
    • Strong computer skills and proficiency including all Microsoft products, Word, Windows, Excel, Access, Outlook, PowerPoint, etc.
    • Strong organization skills and ability to multi-task and work with minimal supervision as well as possess a high degree of professionalism and strong ability to maintain the utmost confidentiality of confidential and sensitive material.
